Job Description

Job Summary:

We are seeking a highly organized and detail-oriented Trade Coordinator to support international trade operations across procurement, shipping, documentation, and payment processes. The ideal candidate will coordinate end-to-end trade transactions, ensure compliance with trade regulations, and maintain strong communication with suppliers, shipping partners, banks, and internal stakeholders.

Key Responsibilities:

  • . Prepare and manage sales and purchase contracts, including contracts with shipping companies and third-party service providers.
  • . Conduct credit checks and support third-party risk assessment processes.
  • . Coordinate and communicate with suppliers, agents, banks, carriers, customers, and other stakeholders before and after shipment.
  • . Track shipment status, documentation progress, and vessel/train movement, while providing regular ETA/ETD updates.
  • . Monitor shipments and proactively resolve logistics issues with shipping lines, forwarders, agents, and inspection companies.
  • . Prepare and verify trade documents including invoices, packing lists, certificates, Bills of Lading, Letters of . Indemnity, Certificates of Origin, and related documentation.
  • . Ensure timely payments to suppliers, shipping partners, and service providers according to agreed terms such as Letter of Credit, Documentary Collection, Open Account, and Prepayment.
  • . Follow up on customer payments and ensure compliance with payment conditions including Prepayment, Cash . Against Documents, and DP Sight.
  • . Maintain accurate records of orders, shipments, and documentation in ERP systems and internal archives.
  • . Support claims handling processes related to shipment discrepancies or trade issues.
  • . Contribute to operational KPIs including invoicing, accounts payable support, and transaction calculations.
  • . Maintain updated shipment tracking reports and ensure accurate shipment visibility at all times.
  • . Support cross-functional projects and provide assistance to other departments when required.
  • . Perform any other duties assigned by management.

Requirements

Requirements:

  • . Bachelor’s degree in Supply Chain, Logistics, Business Administration, International Trade, or related field.
  • . 3–5 years relevant experience in trade operations, import/export coordination, logistics, or supply chain operations.
  • . Strong knowledge of international trade and logistics processes including Incoterms, customs procedures, . breakbulk, and multimodal transportation.
  • . Strong understanding of trade documentation such as COA, COO, BL, LC, waivers, and marine insurance documentation.
  • . Practical experience handling Letters of Credit and trade finance processes.
  • . Proficiency in Microsoft Excel, Power BI, Microsoft 365, and ERP/document management systems.
  • . Strong communication and stakeholder management skills.
  • . Excellent attention to detail and ability to manage multiple transactions simultaneously.
  • . Ability to work independently in a fast-paced environment and manage urgent operational issues effectively.
