Job Description

As a Receptionist at De-Fivez, you will be the first point of contact for visitors and clients. You will play a pivotal role in creating a positive and welcoming atmosphere in our office, handling inquiries, and providing administrative support. The ideal candidate will have excellent communication skills, a friendly demeanor, and the ability to multitask effectively in a fast-paced environment.

Key Responsibilities:

  1. Front Desk Operations:
    • Greet visitors, clients, and employees in a warm and professional manner.
    • Manage incoming calls, take messages, and route calls to the appropriate personnel.
  2. Visitor and Client Assistance:
    • Assist visitors with sign-in procedures and direct them to the relevant departments.
    • Provide information about De-Fivez services and offerings to clients and guests.
  3. Inquiry Handling:
    • Respond to inquiries from clients, visitors, and employees promptly and courteously.
    • Handle general inquiries about the company, products, or services.
  4. Appointment Scheduling:
    • Coordinate and schedule appointments for clients with the appropriate staff members.
    • Manage meeting room bookings and ensure availability for scheduled meetings.
  5. Mail and Package Management:
    • Receive and distribute incoming mail and packages.
    • Prepare outgoing mail and packages, including arranging for courier services when needed.
  6. Administrative Support:
    • Provide administrative support to various departments, including data entry, filing, and document preparation.
    • Assist with the organization and coordination of company events or meetings.
  7. Office Maintenance:
    • Monitor and maintain the cleanliness and tidiness of the front office area.
    • Report any maintenance or security issues to the appropriate personnel.
  8. Visitor Security and Confidentiality:
    • Ensure the security and confidentiality of visitor information.
    • Follow established protocols for visitor access and sign-in procedures.

Qualifications and Skills:

  • High school diploma or equivalent.
  • Proven experience as a Receptionist or in a customer-facing role.
  • Excellent verbal and written communication skills.
  • Friendly and approachable demeanor with strong interpersonal skills.
  • Proficient in using office equipment, including phones, photocopiers, and printers.
  • Strong organizational and multitasking abilities.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
  • Ability to handle sensitive information with discretion.
